How to Organise a Paintball Day for Your Club

Paintball gives sports clubs and societies a lively way to bring members together outside their usual competitions. It combines physical activity, teamwork and friendly rivalry, while giving participants time to socialise away from the clubroom. Whether the aim is to celebrate the season, introduce new members to an action sport or raise funds for a community cause, a clear plan helps keep the day safe, affordable and enjoyable.

A successful group booking depends on early decisions about numbers, timing, venue and costs. The Ministry of Paintball service connects organisers with more than 100 independent paintball fields across Australia and the United Kingdom, offers discounted bookings and can provide free VIP entry passes for eligible groups. Its charitable model also directs a substantial portion of profits toward the WOW! awareness and fundraising platform.

Set a Clear Goal and Format

Begin by deciding what the day should deliver: a social outing, competitive rounds, skills development, a mixed-ability challenge or a charity fundraiser. A regular club night may suit short games and informal teams, while a regional society might prefer a structured tournament. A one-sentence purpose will guide the venue, schedule, equipment, staffing and budget.

Set a realistic attendance range and decide whether members will play together or in separate teams. Consider experience, age, fitness and previous exposure to paintball so that first-time players are not overwhelmed. If the event includes juniors, check each venue’s age rules and obtain the required parent or guardian consent before collecting final payments.

Choose a date that avoids major club finals, representative rounds, school examinations and public holidays. Give one committee member responsibility for bookings, another for finances and a third for player communication. A shared checklist and a simple timeline beginning six to eight weeks ahead will prevent duplicated messages, missed deposits and uncertainty on the day.

Choose the Right Venue

Paintball fields vary considerably. Some feature woodland, bushland or obstacle courses, while others use urban settings, warehouse layouts or speed-net arenas with inflatable bunkers. Busy fields create noise and fast movement; open terrain requires more cover and longer tactical games. Explain the formats to potential players so the chosen environment matches their expectations and comfort levels.

Book through Ministry of Paintball and provide the preferred location, date, expected headcount and playing experience. Ask for a breakdown of what the quote includes, such as entry, marker hire, mask, overalls, ammunition limits, equipment, team allocation and use of playing zones. Also confirm spectator arrangements, changing facilities, shaded areas, parking, first-aid support and any wet-weather policy.

Local conditions matter across Australia. Weekend traffic can be heavy around Melbourne, Sydney and Brisbane, making travel time and parking plans essential. Perth’s summer heat, Sydney’s wet weather and cooler conditions in parts of Tasmania or Victoria can affect scheduling and clothing. School-holiday periods are popular, so compare available dates early and check each locality’s school calendar rather than assuming the entire country follows the same break.

Build the Budget and Secure the Booking

Request a written group quotation based on a minimum and maximum attendance. Ministry of Paintball can advise on discounted packages and free VIP entry passes, with the exact offer depending on the selected field and event. Clarify whether VAT or GST is included, whether equipment hire carries a separate charge and whether booking fees are refundable if the weather causes a cancellation.

Calculate the likely cost per player using entry fees, food, transport, insurance, prizes and any fundraising contribution. A transparent budget protects the club’s finances and makes it easier to explain the final amount to members. If sponsors will cover part of the event, record what they have agreed to pay rather than relying on informal promises.

Secure the date with a deposit and identify the payment deadlines for the balance and final numbers. Read the cancellation, rescheduling and minimum-player clauses before confirming. Some fields require a non-refundable amount close to the event date because teams and staff have already been allocated. Keeping the booking confirmation, contact details and payment record in one shared folder helps the organising committee remain organised.

Prepare Players for the Day

Send every participant a pre-event information sheet covering arrival time, address, map, parking, public transport, food arrangements and clothing requirements. Most Australian fields provide overalls and protective masks, but closed-toe sports shoes are normally required. Players should wear comfortable clothing they do not mind staining and avoid loose jewellery. Hats can be useful between games but should be removed during play unless the venue permits them.

Request emergency contact information and ask players to disclose relevant medical conditions, allergies or mobility needs confidentially. Follow the venue’s guidance on waivers, identification and age restrictions. Volunteers should know where the nearest first-aid kit and defibrillator are located, and the organiser should carry a charged mobile phone with the field address available for emergency services.

Hold a short online or face-to-face briefing before departure. Explain the boundaries of the playing area, the marshal’s signals, hydration breaks, game length and the rule against removing masks outside designated safe zones. Emphasise that every player follows the marshal’s instructions and that friendly competition never overrides safety. Collecting permission for photographs at this stage also avoids publishing images of minors or people who do not wish to appear publicly.

Arrange Transport, Food and Access

Food should be simple, substantial and easy to serve between games. An Australian barbecue with burgers, sausages and grilled vegetables is a popular club option, while pizza, wraps or a casual catering package suit larger groups. Include vegetarian, vegan and allergy-aware choices, and arrange separate storage for food requiring refrigeration. Players still need personal water bottles, as frequent drink breaks are essential in the Australian climate.

Transport can make or break a suburban or regional event. Melbourne and Sydney participants may use trains, trams, buses or organised rideshares, while clubs in regional Victoria, Queensland, Western Australia or South Australia may need a minibus or several cars. Designate sober drivers, publish pickup points and times, and keep an emergency contact list for anyone travelling separately. Drivers should know the exact venue entrance rather than relying only on a street address.

Make the outing accessible to members with different mobility, sensory, communication and social needs. Ask the field about step-free routes, accessible toilets, seating, shaded rest areas and quieter game options. Brief helpers on how to support participants without singling them out. Inclusive team sizes, adjustable game lengths and clear expectations help newcomers feel welcome while experienced members retain an appropriate level of challenge.

Run a Safe, Well-Managed Event

Arrive early enough to inspect the venue and speak with the field manager. Confirm playing zones, marshal locations, first-aid arrangements, weather procedures and the signal used to stop play. Check the forecast for heat, rain, wind or storms, and follow the venue’s guidance if conditions change. In hot weather, shorten games, increase water breaks and provide shade where possible.

Give the event a workable running sheet with arrival, safety briefing, team allocation, warm-up, games, breaks, food and presentation. Allocate volunteers to manage registrations, equipment, refreshments, photographs and communications. Keep players informed through a group message or public announcement system, and build enough time into the schedule for toilet breaks, changing and minor delays.

The nominated safety lead should know the field’s exact location, emergency access point and local ambulance arrangements. Call 000 for a medical emergency, then contact the venue manager and notify the club’s emergency contact. Record injuries, equipment faults or behavioural issues promptly, even when no treatment is required. At the final whistle, return hired gear, check the changing area and leave the site in the condition agreed with the field.

Add Meaning and Measure Impact

Charitable giving can give the club day another purpose. Ministry of Paintball supports the WOW! awareness and fundraising platform, so participants can contribute to a cause connected with the wider mission rather than treating the event only as an outing. Create a clear WOW! fundraising page, select a specific project and explain where donations will go. The cause should be presented respectfully, and participation should never depend on donating.

A modest target, matched sponsor contribution or optional donation round can make fundraising visible without pressuring players. Track gross income, direct costs, net proceeds and the amount remitted through the designated process. Share these figures with members after the event so everyone understands the event’s social impact. Recognition can also come through certificates, team awards or a charity announcement at the presentation.

After the final game, collect attendance figures, confirmed income, expenses and participant feedback while the details are fresh. Obtain consent before posting photographs or participant quotations, and thank volunteers, sponsors, venue staff and charity partners personally. For the club, that impact is as meaningful as the final score: a well-run event creates a memorable shared experience, strengthens participation and gives every player a direct connection to the wider charitable mission.
